KISS uses a 6 digit date (MMDDYY) and where needed stores dates
in this format. To avoid changing all the screens, reports, and
data file formats, this familiar date format is NOT being
changed.
Rather, whereever the order of dates is significant, all dates
with a year of 60 or higher will be considered in this century
(19YY), and those of 59 or lower will be considered next century
(20YY) for comparing purposes. This is effective for date range
selection, aging, and sorting in date order. All of this will be
transparent to the user.
For all the accounting applications in KISS, this scheme will
work very well, so that even the data input prompts for dates
need not be changed. Obviously, this could be restrictive for
birthdays. But there is only one place in the KISS system where a
formal birthdate may be entered and that is in the Payroll. Even
then it is optional, is not validated, and is not used for age
calculation or any comparison reports.
You may print post-dated checks, either as an expense check or
while paying invoices. If the G/L is installed, it is posted
according to the date (Current or Next month). Checks dated past
next month are posted to the G/L in the next period. Use the
check register date range to look for checks coming due in a
future period (screen or print).
An A/P Activity report may be run. Within a requested date range,
two reports may be run either detailed or summarized. One is the
invoices posted vendor by vendor with totals, and the other is a
list of all checks written (in check number order) in that
period. The summary totals are also displayed on the screen.
If the G/L is installed, a new option (under Aging/Activity
reports) provides for comparing the total of open invoices to the
G/L account for Accounts Payable. This is to easily check that
the 2 amounts are in balance. Some late Version 15.12 had this
feature.

A new field to put in an optional expiration date is on the
customer master screen. You may give it your own name. If the
current date is within 10 days or later of this date, the user is
notified when entering invoices in O/E. Also the customer list
may be printed based on a range of expiration dates. The date may
be used, for instance to limit the time of special pricing for a
customer. In some states the sales tax exemption your customers
have must be renewed periodicly, and use of the date would allow
notification of the customer to renew it.
When applying payments a check number up to 8 digits may be
entered.
A new invoice detail field called Reference Number has been
added. If O/E is used, the customer's P/O number is put here.
If the Customer Pricing tables are used, a new feature provides
for copying the table of a specified customer into another
customer or to all without a table.
A General Ledger Distribution table (P/R configuration - PR menu
option 11) may be used for splitting out an amount designated
for one G/L account to several G/L accounts based on a
percentage. This is useful for instance for a salaried supervisor
whose time is proportionately expensed among several cost centers
or departments, and is split the same every pay period. Each key
G/L account may be distributed to a maximum of 15 G/L accounts.
Four new P/R reports are available:
1. The Gross and Taxable Wages report.
2. The Workcode Detail Report
3. The Labor distribution report
4. Magnetic media for Louisiana State Unemployment Ins. reporting
The Reorder Level (Inventory Master screen #2) now has 2 more
fields to help the Reorder report decide how many items are
needed for ordering. These fields are 'Reorder in quantities of'
and the 'Fill-to quantity'. For example you could set the reorder
level to 5 (at or below this triggers to hit the report), set the
'order in qtys of' to 12 (a case), and fill to at 24.
For items that appear on the Reorder report an option is given to
list the reserve invoices with quantities, due dates and customer
numbers.
Under the reports option, inventory labels may be run. They may
be run from the inventory master (all or specific), or print the
items just received on a Purchase Order (in the P/O module). If
Barcode printing software such as that from Bear Rock
Technologies is pre-loaded, then barcode labels may be also be
printed.
Changing the P1-P6 price is a passworded option now, and is an
option on the KISS security SC menu.
The Invoice Register Summary now has a Summary by G/L account
(one line per account) which follows the usual summary.
When the G/L is updated (posted) the date updated is stored with
the updated Y/N flag. The Closed Invoice register may be run
based on the G/L updated date, rather than the shipped date. This
will allow the Closed Invoice Register run for one month to
correspond to the amounts posted to the G/L.
At the Master screen of an invoice, a new W option (not shown on
screen) for Who did it?, documents the password name, date, and
time of who initially entered the invoice, who last updated the
master screen, who last added or edited line items, and who
shipped the invoice. This information is all automatic, and
cannot be changed.
A 3rd series of automatic next numbers may be used; 2N, along
with the N and AN options.
Invoices and pick lists now each have a number of copies option
for printing 'carbon' copies. This puts the copy(s) immediately
after the original. The number of copies is remembered and used
as the default for the next session. Printing from Countersale
uses the last number of copies from Print Invoices.
The Print Order Confirmation or Quotes program now has an option
to print the inventory cost and show markup and profit margin at
the bottom. This is useful for in-house analysis. The order may
be open or already shipped.
When adding/editing invoice detail, the list option will list and
total labor time along with weight for inventory items.
Recurring Invoices re-activation now prints a list, and a proof
run may be run before any updating is done. Also credit limit
checking may be performed, and shown on the report.
The sales analysis reports have been enhanced to provide for
from/to part# range. Also they may be run selecting inventory
items for a particular vendor, if desired.
A new field on the master screen 'Drop Ship Y/N:' and the Drop
Ship P/O# has been added. This may be used if the Purchase Order
module is installed. Set to 'Y' and enter the items to be shipped
directly from the vendor to the customer. See the P/O new
features for the remaining explanation.
When printing a P/O, an option is given to use condensed print
for printing one detail line per item, rather than taking 2 lines
in standard print.
When entering line items on a P/O, an new option to duplicate
items from another P/O is available.
When editing line items on a P/O, a line number may be used for
selection, rather than the item number for that line.
If it is desired to drop ship items directly from the vendor to a
customer, first a Drop Ship invoice is made in O/E. Then on a P/O
to the correct vendor, put the Invoice Number as the Reference
number. An option to put all the line items in the invoice into
the P/O is given. Also the P/O# is recorded onto the invoice.
When the P/O is received, an option to ship and print the invoice
is given. When the P/O is printed, the ship to address from the
invoice is printed. Four pages of instructions are available for
this feature.
Jobs may be designated with Overhead Status. This may be used to
document expenses not chargeable to a standard job.
Cost Codes are now classified as Labor, Materials, and other. Job
Cost reports now split out expenses these 3 ways.
For a requested date range, a report is printed summarized for
each employee, showing gross and taxable wages, and regular and
overtime ours. The report may be printed in the order of either
the employee's default workcode (then all employees in that code)
or the employee's position (and all employees in that position.
The Workcode Summary report has a new option to print employee
detail for each workcode.
This report shows the distribution of labor hours and pay for
Regular time, Overtime and Piecework. These may be printed by G/L
account or Work Code, or Work Codes within each G/L account.
This provides for a diskette that may be sent to the state, in
leu of a report. (extra cost feature)
