Backing up to External Media To make a backup to other media besides the harddrive you may use a CD or DVD if its R/W and already formatted, or use a USB Flash or memory stick drive as follows: 1. Select 'Zipped Diskette or CD' (must do first) 2. Then in the 'Backup TO' text box, put in your CD or flashdrive letter (D: e: f:, etc) 2a. Optionally you may put in a folder name. If its not there it will make it. Useful for backing up multiple companies to one Volume - example E:\kiss e:\company1 3. Select ACCTDATA (or KISSDATA) from the list (either one gets all the Greux/Kiss data files) 4. Click OK The result is one .zip file containing all the data files. If you use Order Entry, once a month after archiving, backup ACCTHIST or KISSHIST (both will backup the history files) This zipped (compressed) backup takes about 10% of the actual disk space used. Another alternative is to select Daily zipped backup, then change the 'backup to' to the desired drive. This allows you to give it a name - defaults to YYMMDD. (year,month day, can add 2 chars if needed) This would allow putting multiple backups on the same cd or drive. Backs up the same exact data as using ACCTDATA or KISSDATA. No need to use 'Copy data files as is', except maybe to backup data files from a network drive to a local C:drive folder thats a different computer than the network server. E-mailing your Backup Copy Off Site Also another useful idea for making an off site backup (rather than carrying a cd or flashdrive home), and providing you are on a highspeed internet (both office and home) and the resulting zipped files are say 5-20 megabytes, is to send yourself an email with the zipped backup file as an attachment. That puts a copy of the backup off site. How to make a Play or Archive Company 1. Get into the Company you desire to Copy From 2. Goto Backup files. a. Keep the option to 'Copy data files as is' selected, b. change the Backup To drv/dir to wherever you are going, ie c:\play, c:\archiv03, (this creates the dir if not there - no warning) c. Perform the backup (will overwrite any existing files) 3. If the Play or archive is not in the list of compamies already, goto ADD/remove companies and add it using the drive dir just copied to. (if already in list - skip) 4. Exit the company just copied from and get into to target company. NOTE that the company name will be the source company at this point. 5. Goto System Configuration. The drv/dir's will show the original assignments a. Now select Reassign ALL - (default should be what you need) and change it b. Go select the right company name. c. Save the Configuration. 6. It will show correctly now in the list of companies. Overview Generally speaking there are 2 or 3 steps to making a play or archive company: 1. Backup files as is to the desired folder (play, archive, etc) 2. Add the target company to the Company list if not already there. 3. Get in the target company, and reassign all, and change the company name.
