Select, List, and Search, or type in the key This window is presented throughout the accounting system whenever a key is needed from a master file. A key may be a G/L account#, a vendor account#, a customer account#, an employee#, a part#, and so on. To hi-lite and select a line in the list, you may: left click on a line, then or Click OK, or double click a line (automaticly does OK also) or use the Down Arrow or Up Arrow to move to the desired line, then click OK or Note the following features: Next/Previous Group Search capabilities (see features further down) List start and Re-start Start list from Beginning or End Clear Button clears Data1, Data2, and Start List at List Previous/Next groups Depending on the speed of your computer and the size of the master file, you may or may not have the PREV or NEXT buttons. If they are there, it means that the displayed list does NOT contain all the masters in the file. Large master files get broken down into groups varying from 200 to 1000, depending on your computer's overall speed. This is to keep you from having to wait on a large master file to fill the list window. List Direction The usual order (direction) of the list is Forward (ascending). By clicking END, and RESTART, the list order is reversed, and the highest key/account is listed first (descending). Searching Searching in effect scans all the information contained in each Master Screen of the application (G/L, A/R, Inventory, etc.) that you are currently needing a key for. Notice the request in the top bar of the window. To search for a single piece of information, enter what you are looking for in either Data 1 or Data 2, then click on the Re-start button to search. Only the master records containing the data you entered are listed. If you enter data in both Data 1 and Data 2, then, Click the OR bullet or the AND bullet (you cant set both on), click Re-Start and then: if OR is set on, either 1 or 2 or both matching is a 'hit'. if AND is set on, BOTH 1 and 2 must match to be a 'hit'. Any masters you looked for will be listed if there was a 'hit'. Adding New Masters To add a new master, simply type in the new key, ie account#, customer#, part#, etc. If you are authorized to add accounts, you will be notified that the number is not in the master, and an option to add it will be given. If you are not authorized or were in a task that only allows existing numbers, you will be notified that the number is invalid.
